In order to recoup the costs of the project, there is a registration fee for industry attendees equivalent to a bronze sponsorship level if your company is not already sponsoring the project.     Travel and accommodations costs for invited attendees (academic/nonprofit members of the PARASOL workgroup) will be covered by the project.

    *Industry attendees, and academic/general attendees outside the PARASOL workgroup, are responsible for their own travel and accommodation expenses. Our event planner can make your hotel reservation, but you will need to pay for it yourself.

    The meeting is planned to begin at 8 AM on Wednesday September 23 and conclude by 3:30 PM on Wednesday, September 23. Please plan your travel accordingly.

    Flights:

    ✈️ Workgroup members: Due to limited staff capacity, we would ask that you book your own flights and submit receipts for reimbursement after the meeting. Instructions for reimbursement will follow via email.

    💺 We can reimburse economy fares only. If you choose to upgrade, please book the economy fare first and pay for your own upgrade separately. 

    Please note that if your travel dates differ from the meeting dates, we can reimburse the lower amount of 1) the price of an itinerary arriving September 22 and departing September 24, or 2) your actual airfare. 

    🚍 Airport transfers: The hotel does not provide an airport shuttle. It is approximately a 10-minute drive from Ronald Reagan Washington National Airport (DCA), 30 minutes from Dulles (IAD) or 1 hour from Baltimore-Washington (BWI). We will reimburse taxi or rideshare fares to/from the airport.

    It is also easily accessible via Metro (Rosslyn station on the Blue Line; from DCA, take the Blue Line in Downtown Largo direction for 5 stops, then walk 2 blocks).

    🏨 Hotel: We have secured a block of rooms at our venue, Hilton Arlington Rosslyn The Key (1900 Fort Myer Dr, Arlington, VA 22209 USA) 

    The organizers will book hotel rooms for attendees as follows:

    Arrival Tuesday September 22 with check-out on Thursday September 24. 

    If you require different dates, please indicate this below and provide the dates you are requesting along with the specific circumstances. We will do our best to meet your request where possible. If you require additional accommodation for personal reasons, please also let us know and separate arrangements can be made. However, we can only cover necessary accommodations to attend the meeting.

    After registration, you will receive an email with your hotel confirmation from our Event Planner, Leslie Sica. You will be able to add your Hilton Honors number directly with the hotel at that point. We kindly ask that you notify us promptly if your travel plans change. Please note that hotel bookings will close on September 8, so please confirm your request by then.
